Building your calendar…

How to use it

  1. 1

    Pick your business and pace

Two to five posts a week. Three is a pace most owners can keep all year.

  2. 2

Choose a start date and length

It starts next Monday by default. Plan 4 weeks, or 12 for a whole season.

  3. 3

    Download or print it

CSV for Google Sheets or Excel, .ics for Google Calendar, Apple Calendar or Outlook.

  4. 4

    Batch the work

Shoot the photos for a few weeks in one session, then schedule the posts so they go out on their own.

How to make a content calendar you’ll actually follow

  • Fix your posting days

Same days every week. Your calendar then only has to answer what to post, never when.

  • Rotate topics, not just posts

A calendar that alternates tips, products, news and behind the scenes never feels repetitive, even when you reuse an idea.

  • Put dated moments in first

Holidays, events and order deadlines go on the calendar before anything else. Regular posts fill the gaps.

  • Announce early for anything people plan

Pre-orders, gift cards and bookings need two to four weeks of notice. The calendar marks when to announce, not just the day itself.

  • Leave room for the unplanned

A sold-out sign or a surprise special can take a planned post’s place. Move the planned one to the next week instead of dropping it.

  • Review once a month

Keep what got saved and shared, drop what didn’t, and plan the next month in one sitting.

Questions

Is the content calendar free?

Yes. It runs in your browser, with no sign-up, and the files are made on your device.

How do I add the calendar to Google Calendar?

Download the .ics file. Then, in Google Calendar on a computer, open Settings, choose Import and export, and import the file into the calendar you want.

Can I open the CSV in Excel or Google Sheets?

Yes. Excel opens it directly. In Google Sheets, use File, then Import, and upload the file.

Are holidays included?

Yes. The calendar marks the US dates that matter for your kind of business, like Thanksgiving for bakeries or National Coffee Day for coffee shops, and plans an announcement ahead of the ones that need pre-orders or bookings.

How far ahead should I plan?

Four weeks is a good habit: far enough to batch the work, close enough to stay flexible. Plan 12 weeks when a big season is coming, like the holidays.
